Terms & Conditions

General: charges & payment

All our prices are quoted in pounds sterling and are exclusive of VAT, which will be charged for all services where applicable at prevailing rate. Parking charges and tolls are not included and will be charged at cost.

All hires are calculated as starting and finishing at W1, except those hires to and from various airports or those hires that are subject to a fixed charge.

All hires involving a drop off and a subsequent pick up will be priced as one continuous hire unless the interval between journeys is 4 or more hours stated at the time the booking is made.

Chauffeur's overnight subsistence allowance by arrangement. Also for each period of 9 hours hire, a meal allowance of £10 will be added.

Gratuities are at the client's discretion.

A surcharge of 100% will be made for services provided (excluding extras) when a journey starts or finishes during a UK Bank Holiday.

A 100% surcharge is applicable for journeys on Christmas Day, Boxing Day and also from 18:00 New Years Eve until 23:59 New Years Day.

All cars are equipped with mobile telephones. Any usage is charged at £1 per minute inland and £3 per minute overseas.

London rates apply where the whole journey is within the M25, if any part of the journey is outside the M25 country rates will apply to the entire journey.

We accept all major credit and debit cards. 14 day account facilities are available on request once a payment history has been formed. A 5% admin fee is applicable to all credit card transactions. Debit Card transactions are free of charge. All credit card bookings with a continual hire will be charged and invoiced every 3 – 4 days.

Airports

Airport transfer tariffs are based on one way, direct, non-stop transfers to or from central London, or vice-versa. We allow a waiting time of 30 minutes for domestic & international landings free of charge. Any excess waiting time is charged at standard rate.

Any excess time or mileage over and above the stated allowances will be charged at either the standard hourly rates, or the additional mileage rate.

Cancellations

Cancellations must be received no later than 6 hours before the commencement of the hire for journeys outside the M25 or 4 hours for those inside the M25. The Company reserves the right to invoice the client with a charge (no less than a minimum charge 4 – 3 hours notice) unless the above conditions are met. A full charge of the journey booked will be applied with only 3 – 0 hours notice.

For cancellation of pick-ups between the hours of 00:00 and 08:00, 10 hrs notice must be given.

Conditions of Hire

If the hirer requests that the driver follows a specific route that is not necessarily the quickest or shortest route, the hirer is liable for any excess charges involved.

The Company accepts no responsibility for delays however caused.

A reasonable amount of luggage is allowed, but luggage, which, in the opinion of driver, amounts to excessive weight, may not be carried. The Company accepts no responsibility for any loss or damage to luggage or any other item; however such loss or damage may be caused.

The hirer must not act or request in any way, any action which contravenes or causes to contravene any part of any legislation which applies to the use of Vehicles as applied under the Road Traffic act.

Under the terms of our insurance policy the Company expressly prohibits any persons other than their own chauffeurs from driving their vehicle and can only seat the number of passengers according to that vehicle seating capacity and the ‘Public Carriage Office License’

Subject to the above condition, the Company accepts responsibility for damage to their cars by fire or collision and the Company's legal liability for third party claims arising from the use of their cars.

The Carriage of animals is by strict request and agreed in advance with the Company. The company reserves the right of refusal.

Accounts: Conditions

Account facilities are available to EU based companies supported by satisfactory bank references.

All invoices are to be paid within 14 days from date of invoice. This is subject to agreement when opening an account.

Invoices are issued in UK sterling. Cheque payments must be drawn from a UK domiciled bank, alternatively credit cards, or electronic transfers to our bank account can be used to settle invoices. 

All late payment of invoices will attract a late payment charge of: 3% after 15 days and up to the 42nd day; 5% after 43 days and up to the 70th day and finally from the 71st day 7% until payment is made (calculated at 28 day intervals).We will re-invoice at all stages. 

All prices are to be set and agreed upon subject to the volume of work to be undertaken. All account holders will be notified in writing of any variations of prices due to circumstances beyond our control.

Brookes Chauffeur Services Ltd. Reserves the right to cancel the account at any time and for any reason.
